A delivery arrives, someone registers it for the person it belongs to, that person is told straight away, and the delivery is closed when it leaves the desk. The background job runs every hour and reminds anyone whose delivery is still waiting. Key idea A delivery always belongs to a host: a person already set up in your company in BmyGuest. You cannot register a delivery for a name that does not exist as a host. If a delivery arrives for someone who is not in the system, create them as a host first. Who does what Three roles touch the Mailroom, and they see different things. Company administrator Switches the add-on on for a location and sets every option. Runs the mailroom at every location of the company they are administering. Can cancel a delivery that was registered by mistake, and restore it again. Receptionist Runs the mailroom at the locations where they are a receptionist: registers, hands out, arranges pickups, corrects and closes deliveries. Can cancel and restore a registration only where the location has Receptionists can edit location switched on. Cannot change the add-on settings unless they are also a company administrator. Host (employee) Sees their own deliveries on My deliveries and on their start page, with the pickup code to show at reception. Marks a delivery picked up once they have it. Where the location allows it, collects deliveries for a colleague: the ones reception arranged for them, or any they look up by number or pickup code. Never sees the Mailroom page or anybody else’s deliveries, apart from the ones they may collect. How to get there Mailroom and Scan deliveries are in the Reception menu on the left. They appear for administrators and receptionists at a location where the add-on is switched on. My deliveries is in the Host menu. The “Needs your attention” lines on the start page lead there too, and so does the button in the notification e-mail. The menu is worked out when you sign in. After the add-on has been switched on at a location, staff and hosts sign out and in again to see the new entries. Security Every action is checked against the location the delivery belongs to, read from the database, not just against your role. A receptionist in Copenhagen cannot open, change or hand out a delivery registered in Aarhus, even with a direct link. A host only ever sees their own deliveries and the ones they may collect. Setup Turning it on The Mailroom is switched on per location, not per company. A company with three offices can run it in one and not in the others. In the Reception menu, open Company settings → Locations, open the location, and go to its Add-ons section. Find the mailroom add-on and press Set up (Configure if it is already active). An add-on that is not part of your subscription shows Contact sales instead. Choose the settings (next section) and press Save and switch on. The badge next to the title changes to Active. Repeat for every location that has a mailroom. To switch it off again, use the Switch off this add-on card at the bottom of the same page. The settings are kept, so it can be switched on again later by saving. Deliveries already registered are not deleted, but the mailroom screens stop working for that location. Every setting All the settings for a location are on one page, Mailroom management. The menu on its left jumps between the four sections (Notifications, Pickup, Delivery types, Custom emails), and Find a setting narrows the page to what you type. Save changes at the bottom saves everything at once. Notifications Mailroom management at Northgate Copenhagen: the section menu on the left, Notifications on the right. Enable e-mail notifications? On / off Sends the recipient an e-mail the moment a delivery is registered for them. It lists whatever was filled in (pickup code, delivery number, sender, type, comment and pickup location) and has a button that opens the delivery on My deliveries. Leave it off and nobody is told automatically: people see their deliveries only on their start page and on My deliveries. Enable daily reminder e-mails to recipients? On / off Chases people who have not collected. A background job looks every hour and e-mails anyone with deliveries still waiting, one e-mail per person listing all of them. See Notification timing. Reminder hours Number · default 24 How long to wait after the last e-mail before reminding again. 24 means at most one reminder a day per person; 4 would remind several times a working day. Left at 0, the system uses 24. Pickup The Pickup section with three pickup locations. Enable auto-generated Pickup-code for recipients? On / off Gives every new delivery a short running number that the shelf, the recipient and reception can all refer to. It is far easier to read out across a counter than a 20-digit courier barcode. Numbers count up per location, and per delivery type when you use types. You can therefore have L-41 and P-41 on the same day, which is what the type prefix is for. The code is shown in large type right after registering, on the Mailroom page, in the e-mail, and on the recipient’s My deliveries. Allow a recipient to pick up other people’s deliveries? On / off Switches on self-service collecting for a colleague. People at this location get a Collect for a colleague section on My deliveries: the deliveries reception arranged for them, and a box to look up any waiting delivery by its number or pickup code. With it off, people only collect their own. Reception can still arrange a pickup, but the colleague then collects it at the desk. Pickup location names List of names For sites where deliveries do not all wait in the same place: “Reception”, “Parcel lockers”, “Goods entrance”. Add pickup location adds a row; the bin removes one. With names set, the registration form and the phone scanner offer a Pickup location list. See Pickup locations below. Delivery types and Custom emails The last two sections have chapters of their own: Delivery types (optional categories; once one exists, choosing a type is required on every registration) and Custom e-mails (your own wording for the two e-mails). No SMS The Mailroom tells people by e-mail, and by a Microsoft Teams or Slack message where your company uses the BmyGuest bot. It does not send SMS. The old design showed an SMS option that never sent anything; the new settings page does not have it. Delivery types Types keep registered letters apart from pallets and internal mail. Useful for internal mail, or anything you do not want to chase people about. Add type adds a row. The bin removes a type after asking. Then press Save changes. Four types, four number series. Internal mail is never part of a reminder. Watch out Defining any type makes the type required on every future registration (the field shows Type *). If you want types to stay optional, do not define any. Removing a type does not change deliveries already registered with it: they keep the type and its prefix, and you can still save them when correcting other details. Pickup locations A pickup location is a label saying where the delivery physically waits. It is stored with the delivery, printed in the e-mail, shown on the Mailroom page and in history, and shown to the recipient as “Pick up at” on My deliveries. None set: the field never appears, and e-mails name the location itself. One or more set: the registration form and the phone scanner offer a Pickup location list. Choosing is optional; left empty, the e-mail names the location itself. It is a list of names, not a set of shelves the system keeps track of. Nothing checks that a delivery really is in the parcel lockers. On the phone scanner, the type and pickup location you chose are remembered on that phone for the location, so a stack of similar deliveries needs them set only once. Custom e-mails Two e-mails go out: new delivery when a delivery is registered, and reminder while it is still waiting. Both have a sensible default. To use your own wording, fill in the fields under Custom emails; leave them empty to keep the default. Each e-mail has three fields: Email subject, Email body (HTML) and Link text, the label on the button that takes the reader to their deliveries. A custom e-mail is only used once it has a body; a subject on its own is ignored. Above each body are buttons for the merge fields. Click one and it is inserted where the cursor is. As above, the button already uses it. Formatting The body accepts HTML, and the line breaks you type become line breaks in the e-mail, so you can write it as plain text and still get paragraphs. The pickup QR poster Pickup QR poster at the top of the Mailroom page downloads a zip file with the same QR code as PNG, JPG and SVG. The code opens the self-service Pick up packages page for that location. Print it and put it where the deliveries wait. People scan it with their phone, sign in, and see their own deliveries (and, where allowed, the ones they may collect for a colleague), ready to tick and collect without queuing at the desk. A delivery for someone else can also be added there by its number. Use the SVG for large prints: it stays sharp at any size. Each location has its own code, so do not reuse a poster between sites. The page the poster opens, on a phone. Older look The page the poster opens has not moved to the new design yet. It works as before, but shows pickup codes without the type prefix (“Pickup number 156” rather than P-156). Everything it offers is also on My deliveries. How to Register at the desk The form on the Mailroom page, for a computer at reception, with or without a USB barcode reader. Open Mailroom in the Reception menu. If you work at several locations, choose the right one in the location menu at the top right. The page remembers your choice. Press Register delivery. A panel slides in with the recipient search ready. Start typing the recipient‘s name. The search covers hosts at this location; switch on Search the whole company for someone based elsewhere. Fill in the rest: Type: required as soon as any type exists. Pickup location: where it will wait, if you use pickup locations. Delivery number: type the courier’s tracking number, or scan it with a USB barcode reader, which types it in for you. Sender and Comment: “DHL”, “Fragile”, “Two boxes taped together”, anything useful. Photo: optional. A photo of the label is the quickest way for the recipient to recognise the delivery. For a stack of deliveries, tick Keep open for the next delivery at the bottom of the form. After each save the form clears the number, sender, comment and photo, keeps the type and pickup location, and is ready for the next one. The choice is remembered on that computer. Press Register delivery. With pickup codes on, the Delivery registered window shows the code in large type. Write it on the delivery, then press Written on the delivery. Registering at the desk: the form, and the pickup code to write on the delivery. The recipient is e-mailed straight away, and the delivery appears on the page without reloading. Shortcut: an open recipient card has Another delivery for them, which opens the form with that person already chosen. Register from a phone Scan deliveries is built for standing at the door with a stack of deliveries: photo, barcode, recipient, register, next. Open Scan deliveries in the Reception menu (or Scanner on the Mailroom page) and allow the camera when the phone asks. With several locations, choose one at the top. Point the camera at the label and tap Take photo. Retake tries again; Choose photo uses a picture you already have. The photo is optional. The barcode is read for you and offered under Barcodes found. Tap the right one. A label often carries several codes, so tap the courier’s tracking number. You can always type the number instead.Phones whose browser reads barcodes itself (most Android phones with Chrome) read them live from the camera. Others, iPhones among them, read the barcode from the photo you take, and the page says so. Hold the phone close enough for the barcode to fill a good part of the picture; if no code is offered, type the number. Choose the recipient, as at the desk. People you have registered for on this visit appear as quick choices under Just now. Type and Pickup location stay as you left them, remembered on this phone for the location. Sender and comment opens two more fields. Tap Register delivery. The pickup code appears in large type; write it on the delivery and tap Written on the delivery. The form resets for the next one and the delivery joins the Registered now list at the bottom. Scan deliveries on a phone: the live camera, then the barcode read from the photo and the recipient chosen. After registering: the pickup code, and the deliveries registered on this visit. To change a delivery registered from the phone, open it on the Mailroom page. What the recipient gets Within seconds of the registration, the recipient has: An e-mail (when e-mail notifications are on) naming the company and location, listing the details that were filled in, with a button that opens the delivery on My deliveries. The button usually signs them straight in, for 12 hours. People who sign in with company single sign-on, or whose e-mail on the host record is not the address they sign in with, sign in as usual first. A Microsoft Teams or Slack message, if your company uses the BmyGuest bot and the person is linked to it. The same goes for reminders. A line under Needs your attention on their BmyGuest start page, Deliveries waiting for you, with the location and pickup place. When reception has arranged for them to collect a colleague’s delivery, a Collect for a colleague line appears too. Both lead to My deliveries. Collecting your own Everything is on My deliveries: in the Host menu, behind the lines on the start page, and behind the button in the e-mail. My deliveries: waiting for you, to collect for a colleague, and earlier deliveries. Waiting for you lists what reception has registered for you, oldest first, each with its pickup code. Tap a delivery to see the photo, delivery number, type, sender, where to pick it up and when it arrived. Show the pickup code at reception, or fetch the delivery from where it waits. Once you have it, press Picked up. With several waiting, All picked up at the top of the list (it shows how many) marks them all, after asking. A delivery opened on My deliveries. The delivery then moves to Earlier deliveries (your last 50) as Picked up by recipient, and reception sees it in the history. The same page on a phone. Honesty system Marking a delivery picked up is a self-declaration: the person says they have it, and nothing checks it physically. If you need a stricter chain of custody, keep deliveries behind the desk and let reception hand them out (see Handing it over at the desk). Collecting for someone else Somebody else can collect a delivery in two ways. Self-service collecting needs Allow a recipient to pick up other people’s deliveries? switched on for the location. Reception arranges a pickup For when someone phones down and says “my colleague is coming for it”, or when one person fetches the whole team’s post. On the Mailroom page, open the recipient’s card. Press Arrange pickup at the bottom of the card for all their waiting deliveries, or choose it in a delivery’s ⋯ menu for just that one. Under Colleagues, search for one or more hosts. May pick up now lists who may already, each with × to withdraw it. Press Arrange pickup. Arranging a pickup for all three of Priya's deliveries. Tom may already collect one of them. The colleague now sees those deliveries under Collect for a colleague on My deliveries, marked with whose they are, and can mark them Collected. The recipient stays the recipient. On the Mailroom page the card shows Pickup arranged and the delivery Pickup: name. The arrangement ends when the delivery is handed out or closed. Where self-service collecting is off, the panel says so: the colleague then comes to the desk and reception hands the delivery over. Look it up by number For when someone is already standing at the shelf holding a colleague’s delivery. On My deliveries, under Collect for a colleague, type the delivery number or the pickup code (with or without the prefix) and press Find. If you work at several locations that allow it, choose the location first. The delivery is added to the list with who it is for, so you can check it is the right one. Once you have it, press Collected, and remember to hand it over. Found by its pickup code: Priya's delivery, now in Grace's list next to the one reception arranged. What is recorded Collecting for someone else is recorded as Picked up on behalf of recipient, together with the collector’s name. It shows in the delivery’s status log and in the history, so there is always a name against a handover. Only deliveries still waiting can be found, and only at locations of your own company that allow it. A delivery addressed to you is in your own list instead. Handing it over at the desk The classic route: the person comes to reception, you find their delivery and hand it over. Type in the Search box above the list: a name, a delivery number, a pickup code (as it is read out, “P-148” works), a sender or a word from the comment. The matching card opens by itself. Hand over the delivery. Press Handed out on its row. All handed out on the card hands out everything waiting for that person, after asking. The delivery leaves the waiting list at once, reminders stop, and the history shows it as Picked up by recipient with your name. Mistakes, returns and disposal Every delivery row has a ⋯ menu next to Handed out. The menu on a delivery. Cancel registration is shown only to people who may cancel. Correcting a delivery Edit opens the registration form, filled in. You can change the recipient, type, pickup location, delivery number, sender and comment. The pickup code stays with the delivery, and the photo cannot be replaced after registering. Wrong person If you change the recipient, the delivery moves to the new person and they get a fresh e-mail (when e-mail notifications are on). The first recipient is not told, so let them know yourself if they are already on their way down. Nobody collects it Some deliveries are never fetched. Two closing statuses keep the list honest instead of letting it fill up: Returned to sender: you gave it back to the courier or the sender. Disposed: you threw it away, shredded it or otherwise destroyed it. Both ask first, take the delivery off the waiting list, stop reminders, and are recorded with your name and the time. Worth agreeing up front The system does not decide when a delivery is too old. Agree a house rule, for example return after 30 days and dispose of unclaimed items after 90, and use the colours as your prompt: a card turns amber after 5 days and red after 10. Handed out by mistake Open it in the History below the waiting list and press Back to waiting. The correction is added on top: the mistake stays visible in the status log, so the trail is never rewritten. Registered by mistake Cancel registration removes a delivery that should never have been registered, a duplicate for example. It disappears from the Mailroom page and the history. The recipient is not told, and an e-mail already sent is not withdrawn. Company administrators can cancel; receptionists can where the location has Receptionists can edit location switched on. Everything you do on it (registering, handing out, arranging, correcting) redraws the page in place, so there is no refresh button. The card shows when their oldest delivery arrived and how long it has waited, their name, the delivery numbers, the pickup codes, Pickup arranged where a colleague may collect, and how many deliveries there are. A card turns amber when a delivery has waited 5 days, and red at 10. Opened, it shows the recipient’s job title, e-mail and work phone (click to write or call), then one row per delivery: photo, pickup code, delivery number, type, sender, pickup location, when it arrived and who registered it, any arranged pickup, and the comment. Delivery details Click a delivery’s number or photo to open everything about it: the photo in full, the recipient, every field, when the recipient was last told (or “No e-mail sent”), who may pick it up, and the complete status log with who did what and when. Two people at the desk The page redraws after everything you do, but it does not follow what a colleague is doing on another computer. If two people work the desk at once, reload the page before assuming a delivery is still waiting. Handing out one that has already gone is refused, and the page redraws with the current state. History and export The history sits under the waiting list. It lists every delivery that had activity in the period, meaning its latest status changed then, so deliveries still waiting appear too. It opens on the last 30 days. The period menu offers 7, 30, 90 or 365 days, or a specific range. The history has its own search box, separate from the waiting list’s. Open a row for its details, who closed it and when, and Back to waiting for a delivery closed by mistake. Details and status log opens the full slide-in. The page shows the latest 500 deliveries of a period. Export downloads all of them as a CSV file: arrival, recipient and e-mail, delivery number, pickup code, type, sender, pickup location, comment, registered by, status, and when and by whom the status changed. Show cancelled (for those who may cancel) adds cancelled registrations, to the export too. The history with the period menu open. A history row opened: collected for Priya by Tom the next afternoon. Statuses A delivery’s status is a log, not a switch: each change is added with who made it and when, and the newest entry is the current status. Nothing is overwritten, so the full trail is always readable in the details. Notification timing Exactly when messages go out, and why one sometimes does not. The arrival e-mail Sent the moment the delivery is registered. There is no batching and no delay. Sent again to the new person if you change a delivery’s recipient. Not sent at all while Enable e-mail notifications? is off for the location. Its button opens the delivery on My deliveries. The reminder e-mail A background job runs every hour, on the hour, across every location with the add-on switched on. It skips locations where Enable daily reminder e-mails to recipients? is off. It looks only at deliveries still Ready for pickup, and skips those whose type has Disable reminder emails ticked. A person is reminded only if their last message is older than Reminder hours, or if they were never told. One e-mail per person, listing every waiting delivery with its place, type, codes, sender and comment. Its button opens their BmyGuest start page. Sending resets the clock on all that person’s deliveries, so the next reminder is another full interval away. A useful consequence Reminders are driven by “when were you last told”, not by the arrival e-mail. So you can switch arrival e-mails off and reminders on, and people are still chased, just on the reminder rhythm rather than straight away. Limits and quirks Recipients must already be hosts. There is no “register for a name”. Create the person as a host first. No SMS. Notifications are e-mail, plus Teams or Slack where your company uses the BmyGuest bot. No public API. Deliveries cannot be created or read through the BmyGuest public REST API; everything goes through the screens. Pickup codes are not unique across locations. They count up per location, and per type where types are used. Two locations will both have a delivery 41. The QR poster’s page has the older look. It shows pickup codes without the type prefix, so expect the occasional question at the desk if you use prefixes. Barcodes on iPhones are read from the photo. Hold the phone close to the barcode, or type the number. Photos cannot be replaced. A photo is added when registering; correcting a delivery keeps it. Nothing expires on its own. Old deliveries stay on the waiting list until someone closes them. The page does not follow a colleague’s work. Reload before assuming a delivery is still waiting when two people work the desk. The history shows 500 rows. Narrow the period, or use Export, which has all of them. Help Troubleshooting Mailroom is not in my menu. The entries need two things: you are a company administrator or a receptionist at a location, and the add-on is switched on there. The menu is worked out when you sign in, so sign out and in again after the add-on has been switched on or your role has changed. Opening Mailroom takes me back to the start page. Usually one of these: you are not an administrator or receptionist at that location; your user account has not been confirmed yet; or the add-on is not switched on there. Administrators work in the company they are currently administering, so switch company first if you manage several. The Mailroom is not available to multi-house management companies. I cannot find the recipient. The search starts with hosts at this location. Switch on Search the whole company to look further. If they are still missing, they do not exist as a host yet: create them, then register the delivery. The form will not save without a type. You have delivery types defined, so a type is required on every registration. The recipient says they got no e-mail. Check that Enable e-mail notifications? is on for the location. Open the delivery on the Mailroom page: Recipient told shows when the last e-mail went out, or “No e-mail sent”. Check the e-mail address on their host record, and their spam folder. Correcting the comment or sender sends nothing. Only changing the recipient does. Reminders are not going out. Enable daily reminder e-mails to recipients? must be on for the location. The delivery’s type must not have Disable reminder emails ticked. Enough time must have passed. Reminder hours counts from the last message, and the arrival e-mail is one. The job runs on the hour, so allow up to an hour. Somebody has no “Collect for a colleague” section, or cannot find a delivery. Self-service collecting needs Allow a recipient to pick up other people’s deliveries? on at that location, and the person must belong to the location’s company. Only deliveries still waiting can be found, at the location chosen. Delivery numbers must match exactly. Pickup codes are matched on their digits, so the prefix may be left out. Somebody handed out the wrong delivery. Find it in the history and press Back to waiting. It returns to the waiting list; the wrong entry stays in the status log on purpose. Two deliveries have the same pickup code. Expected when they are at different locations, or of different types at the same location. Give each type a Pickup number prefix so they read differently on the shelf. The camera does not open on the phone. The scanner says what went wrong: the page needs a secure (https) connection, the camera may be blocked for the site in the browser settings, or no camera was found. Choose photo always works as a fallback: take the picture with the normal camera app and pick it. No barcode is offered after taking the photo. On phones that read the barcode from the photo (iPhones among them), take the picture closer, so the barcode fills a good part of it, or type the number. A label with several barcodes offers each of them: tap the courier’s tracking number. What changed from the old design For people who used Packages in the old design: where everything went.
